02. What’s your onboarding process?

We typically begin work within three weeks, depending on how quickly we receive the required documents and information.

Week 1-2: Discovery & Proposal

- Complete the Client Intake Form.
- Schedule a discovery call to discuss your business, goals, and support needs.
- Receive a customized quote outlining recommended services, pricing, and next steps.
- Once approved, we’ll send an engagement letter and request your initial payment.

Week 2-3: Onboarding & Setup

- You’ll receive a welcome email with access to a secure shared folder, onboarding instructions, and requests for any necessary files, documents, and system access.

Week 3+: Work Begins

- Once onboarding is complete, we'll complete the agreed-upon work, deliver the results, and provide ongoing support as your business needs evolve.

03. What’s your bookkeeping process?

Each bookkeeping cycle, Keystone Numbers will:

Attach receipts to transactions and verify all bills, invoices, and deposits are complete.
Categorize transactions using your Chart of Accounts.
Request clarification from you on transactions that require additional details.
Reconcile accounts and make necessary journal entries.
Review financial data, prepare reports, and email them along with a summary by the 15th.

Your responsibility is to respond to our information requests within 1–2 business days to keep your books and reports timely. Otherwise, we've got it handled!

04. What software do you use?

Bookkeeping

We utilize QuickBooks Online (QBO) and Xero, and we can also adapt to your DIY accounting systems.

Tools

We have experience with a wide range of platforms, including Stripe, PayPal, HoneyBook, Dubsado, Gusto, ADP Run, Paycom, and many more.

Communication

We’re available via text, email, Google Chat, and video calls.

Our Founder

Kay has over 10 years of accounting and tax experience across Big Four and boutique accounting firms, manufacturing, and tech startups. She holds both bachelor’s and master’s degrees in accounting and taxation, along with a CPA license.
